Questions & Answers

As answered by people managing Otto Capture.
  1. What's the story behind Otto Capture?

Otto Capture comes from a team that owns a UK accountancy practice, so it started from problems seen first-hand rather than from a market gap on a slide: manual data entry eating into the month, the friction of getting clients to send documents, and paying for tool features that went unused. It was built to address those specific frustrations and tested against real client work as it developed, which is why the billing and the review-before-publish workflow are shaped the way they are.

  2. Which are the primary technologies used for building Otto Capture?

Otto Capture is a responsive Python and Django web application backed by a PostgreSQL database, so it works across screen sizes without a separate app to install. The document extraction and processing pipeline runs on AWS, chosen for its security, reliability, and ability to scale as volume grows. The core application, extraction pipeline, database, and WhatsApp submission service are all hosted in AWS's London region.

Extraction is powered by large language models run under zero data retention, so client documents are not retained by any AI provider or used to train or improve their models. We update the underlying models regularly to keep using the most suitable ones available, and every change is tested against an evaluation dataset first, so extraction performance is verified, rather than assumed, before anything reaches production.

  3. Why should a person choose Otto Capture over its competitors?

Two reasons tend to matter most: the billing and the focus. You are charged only on documents you actually publish, there are no client minimums, and a client that publishes nothing in a month is not charged, so your cost tracks the work rather than a headcount. And Otto Capture concentrates on doing capture and coding well rather than spreading across month-end automation, which keeps it simpler to run.

The honest flip side is that it will not suit everyone. If you rely on supplier statement matching, prepayment tracking, or heavy month-end features, a broader tool will serve you better, and we would rather say so up front.

  4. How would you describe the primary audience of Otto Capture?

UK accounting and bookkeeping practices working in Xero, FreeAgent, or QuickBooks Online (where Otto Capture currently publishes bills and supplier credit notes), from sole practitioners to multi-partner firms. The people using it day to day are practice owners, bookkeepers, and accountants who process client bills, invoices, and receipts and want less manual keying and less time chasing documents that never arrive. It is built for practices of any size rather than a single tier, so the right fit is about the workflow rather than the client count.

  5. Who are some of the biggest customers of Otto Capture?

We are not naming customers yet, and would rather wait until practices are happy to be quoted. What we can say is that our own accountancy practice runs all of its clients through Otto Capture, so every feature is tested and refined on real client work. Otto Capture is built for practices whose clients, platforms, and ways of working differ from ours, and feedback from the practices trialling and using it shapes what we build just as much.

  6. What makes Otto Capture unique?

Otto Capture pairs accurate extraction with coding that learns from each client's own history. A few things set it apart:

    • Coding suggestions from the client's own history. When a document arrives, Otto suggests a nominal code based on how that client coded the same supplier before, scoped per client and per supplier, so suggestions sharpen over time and never carry across between clients.
    • Extraction you can check. Otto records his reasoning for the figures he read, so your team verifies the work rather than taking a value on trust.
    • A branded submission address. Every practice gets its own, so client documents never share a generic inbox.
    • Billing based on what you publish. You are charged only on documents you publish, with each client placed automatically on the cheapest tier for its volume.
    • Chasing without the back and forth. Share a list of transactions that still need a document, and your client opens it from a link, with no login, to comment or upload.
