ReciteMail is a desktop email assistant for Windows that writes your replies in your own voice. Instead of connecting to your mailbox, it is import-only: you bring in the messages you choose (.eml, .mbox, .msg or .pst) and they live in an AES-256 encrypted database on your own machine, with an optional app lock on top.

To draft a reply you paste the email you are answering, dictate a short brief with your microphone, or snip it from any window on screen. ReciteMail studies the tone of the mail you have already sent, so the draft reads like you wrote it rather than a template. You review it, then copy it into Outlook, Gmail or any other client with your formatting and signature intact. Nothing sends automatically.

Other features include local full-text search across everything you import, reusable templates that adapt to each situation instead of pasting verbatim, translation and drafting across more than 60 languages, tone controls, a per-audience banned-words list, plus a floating quick-capture bar summoned with Ctrl+Alt+G from anywhere in Windows.

ReciteMail is built for online stores and small operations buried in customer and supplier email: shop owners and dropshippers, small support desks, assistants, freight and wholesale teams and one-person businesses. Windows 10 and 11. Free 7-day trial, no credit card required.

Questions & Answers

As answered by people managing Codealike and ReciteMail.

What makes your product unique?

ReciteMail's answer:

ReciteMail never connects to your inbox. Most email assistants begin by asking for full mailbox access. This one is import only: you bring in the messages you choose and they stay in an encrypted database on your own PC. It learns your writing style from mail you have already sent, so replies read like you rather than a template. You can dictate a brief out loud instead of typing it. It runs on Windows alongside Outlook or Gmail rather than replacing them, and nothing is ever sent automatically: you read every draft before it goes.

Why should a person choose your product over its competitors?

ReciteMail's answer:

Three reasons. First, drafts sound like you: it studies your own sent mail instead of writing in a generic voice, so customers cannot tell the difference. Second, privacy is structural rather than a promise. There is no mailbox connection to grant, no background sync and nothing uploaded in bulk, so a business handling client or tenant data can use it without an IT conversation. Third, speed in the moment. Dictate a one line brief or snip the email off your screen and a finished reply is ready in seconds with your signature attached, ready to paste into whatever you already use.

How would you describe the primary audience of your product?

ReciteMail's answer:

Small businesses and solo operators who spend more of the day in the inbox than they would like. The heaviest users are the ones answering near duplicate replies: drop shippers answering where is my order, property managers juggling tenants, contractors and landlords, freight brokers and wholesalers coordinating orders, tradespeople quoting from the workshop, recruiters, small support desks and freelancers chasing invoices.

It fits people whose email is never the same twice, too. Every draft is written from the message in front of you plus a one line brief, so no two replies need to look alike: a delicate refund, a one off quote, a supplier negotiation, a difficult no, a note to a client in another language. Templates are there if you want them rather than the point of the product.

The common thread is someone who writes a lot of email, cares how it reads and would rather their mail did not live in someone else's cloud. Windows users, usually without an IT department to ask.

What's the story behind your product?

ReciteMail's answer:

It started with a drop shipping business and an inbox that would not end. The same three emails, twenty times a week: where is my order, chase the supplier, apologise for the delay. Templates helped a little, but each one still needed editing. By Friday afternoon the edits got shorter and colder, and customers can tell. The tools that promised to fix it all wanted full access to the mailbox first, which felt like a steep price for help writing an email. So we built the opposite: a Windows app that imports only what you hand it, keeps it encrypted on your own machine and writes the reply in your own words in seconds. ReciteMail is made by Velora Prima Limited, a small independent software company with an interest in fragrances in Dublin, Ireland.

Which are the primary technologies used for building your product?

ReciteMail's answer:

A Windows desktop application with an AES-256 encrypted local database for everything you import. Accounts and drafting run through a small service of ours hosted in the European Union, over TLS. Beyond that we would rather let the product speak for itself than publish our stack.
