My solution, that I started to use probably 20 years ago, is having my own emails & domain on a webhost server. Expect to pay $30 for a webhost, domain name & registration each year. It's hard to enforce developers to update documentation. Ideally, you should have somebody responsible to do it. As for the documentation stack, archbee.io for both internal and external.
