The way it breaks down specifically for me goes something like this: - fillable PDF form? Google sheets or VTT character sheets - collaborative notebook? Google docs or VTT note applet - world map? No idea for a moveable world map, but I use WonderDraft for regional/global cartography, and I quite like it. I upload the maps I make to the VTT of my choice. - whiteboard for battlemaps? Roll20 isn't terribly performance intensive, what seems to be the problem when you've tried? Maybe try not using dynamic lighting if you're using maps that support it. There are a few similar options like owlbear.rodeo that are newer and might use more efficient webcode but I don't think you're going to be able to do much better then unless the DM wants to share a webcamera with the zoom session and just move... We started in-person in the Before Times, meeting roughly every third week after work (I call them my Work Group). We then took a break at the beginning of Covid before going digital with owlbear.rodeo, and then finished up in-person every other week(ish). Owlbear.rodeo and roll20 seem nice though there are virtual maps on youtube we have been using and just putting some minis ontop of plexiglass (we have the fellowship monopoly gang and mini skeletons and trolls to be whatever we are fighting), I was looking for something a bit more detailed like Tailspire but purely GM controlled and top down view maybe my thoughts are a bit ahead of anything out there. It's all about time and effort. I've settled on casting maps to my TV and using owlbear.rodeo. It's free, easy to use, and mobile friendly. Players can move their own tokens with their phones if they want. Basically, I have the DM map on my laptop to uncover portions of the map and move monsters, and one of the players casts the player map to the TV so I don't have to futz with it. There's also the option of a more low-tech solution, like having just a battle-map and tokens on owlbear.rodeo and using a dice rolling bot on a discord (or trust people to roll their own dice). If people don't want paper sheets they can have a pathbuilder tab open. Source: about 1 year ago

You have to have an internet connection to use either version of Owlbear Rodeo with others connected to your game, but as long as you already have a map open, you can prepare some aspects of Owlbear Rodeo 1 (https://owlbear.rodeo) without internet, because all of the prep and assets are on your local computer. Also note that v2 is hosted on the cloud. The free account has a large enough storage space for most needs, but you might run into its limit rather soon. The v1 version (http://owlbear.rodeo) is self-hosted in the browser cache data, so no limit there. It will also eventually be open source. But it has fewer bells and whistles. Generally we use owlbear.rodeo just for ease of use, and make tokens with Megamek (link below.) With everyone on Discord you could just as easily run the whole thing through Megamek for fights (DM or another player as opfor) and use MekHQ to track your company if you are having issues, truth be told thats how we first generated the basics (staff etc) then kind of ran with it once we had what we needed. I agree I would like to avoid using the full-on virtual tabletops like Roll20, Foundry, etc. Anything too robust will just increase the temptation to get bogged down with high levels of prep and features. Not using an actual VTT solves all your problems. I recently tried using a full battlemap after several sessions without one, and I really didn't like tabbing back and forth to remove bits of fog of war, occasionally misclicking and revealing the map. I use owlbear.rodeo and just draw out a rough sketch, only when necessary. I do like using an overworld map, but haven't been going to the hex level as of late. Source: about 1 year ago
