If your work is not published its very likely to be removed by a mod on Wikipedia, but when it comes to organizing your world, a personal wiki is by far the best way to do so. All of my teams are remote so I feel you. My favorite tool for this is Figjam but Miro is nearly as good. Everyone connects to a virtual board and puts stickies on the board. The software includes a timer and even voting tools that are easy to use and visual for everyone.
