There's an app/website called moovit which is the better version of google maps that's spesifically designed for public transport. You can set your destination to the airport and set a spesific arrival time, it'll tell you exactly when to leave, what public transport to use and where to get off the train. For how to actively distribute the newsletters if you go the email route there’s several services (unless you’re cool with just whacking everyone’s email into a BCC list and sending manually, of course) you might find Tiny Letter useful.
