You already mentioned documentation. Good! Document everything. Why you chose X method over Y, or this framework over that. This helps later with onboarding and when people want to come up with suggestions, because they can see you already did explore this option earlier on so why bring it up again? Doucmentation really requires a culture of openness and transparency. Some people do not like to work this way, believing they will be replaced if they share how they work or their tools or decision making. I live in Madrid and people are 50% 50% in either being really open, or super gatekeeping. So that's something to find out in interviewing and find some history of potential hires or partners sharing how they work openly. In terms of tools, notion is good, but p2 by the team behind Wordpress is optimised for quickly writing internal company updates, having a robust search for them. It's meant to make your updates a referenced point in the future. There's a free P2 plan. And notion is free on a personal account. I personally have a paid account because I screen shot so many designs of webpages and apps and can tag them up. Then if I need inspiration, boom. Search by tag.
