Toggl KanbanFlow
  1. 1
Toggl is an online time tracking tool. It features 1-click time tracking and helps you see where your time goes. Free and paid versions are available.
Another tool I use is the Toggl time-tracking app. (Note: the time-tracking utility is now called Toggl Track). By using this tool for several years I have built up a database of how long it takes to complete similar tasks; I use this information to develop estimates when planning projects.

  2. KanbanFlow is a Lean project management tool allowing real-time collaboration between team members. Supports the Pomodoro technique for time tracking.
I use KanbanFlow as my personal task manager. I've designed a board around the One Minute To-Do List concept of Michael Linenberger with bins (i.e., columns) corresponding to Linenberger's three urgency "zones", or categories: Critical Now, Opportunity Now, and Over the Horizon, and, of course, a final bin labeled Done. I keep a purple-colored card at the top of each bin whose description lists the criterion for inclusion in that category; for instance, the description for Critical Now is "Must do today"; the description for Opportunity Now is "Start this week or next, review daily"; and the description for Over The Horizon is "Future tasks (> next week), review weekly". These purple cards remain permanently at the top of each bin. I create a yellow-colored card for each task I want to do and place it in the appropriate bin depending upon its time-urgency. I then do quick reviews throughout the day to monitor my progress on the tasks in the Critical Now bin, moving the card to the Done bin when the task is complete. At the end of the day, I review the tasks in the Opportunity Now bin to see if any can be moved to the Critical Now bin. Finally, at the end of the day on Friday I review the cards in the Over the Horizon bin to see if any should be moved to the Opportunity Now bin. I have found this way of organizing my tasks works for me.
